Dear Dolphin Families,

The site is completely updated and ready to go. Registration/Open House is March 19th from 12-3pm in person or online at noon on March 19th.You can find all your information for this current season. Please print our current handbook and calendar. A Frequently Asked Questions tab has been added, as well as specific details for the GA Games and Patti Wilder meet. 

We have our Dolphin Store up that features our regular merchandise AND a new SwimOutlet link that has two new choices of suits, as well as goggles and towels. The links to the store are up for anyone that wants to get their suits early to ensure sizes and delivery. The suits this year have thicker straps and should be more comfortable for swimmers.

There is a link to the CSSL Pink Out fundraiser to buy merchandise for week 5 swimming that goes directly to our non-profit we support: It’s The Journey.

I have loved being the coordinator for the Dolphins over the past 8 years! This will be my last year. I will be limiting my time at practices this season and will not plan to be there each morning,

We have such a large team and many people have asked how to help over the years. We always need volunteers to run meets, but we also need additional help behind the scenes. Breaking up the Coordinator position into smaller segments will make it a more simplified position so it doesn’t feel overwhelming to anyone coming in for the future seasons.

I am a super organized person and I have everything ready to go for the next coordinator☺. Our site has all the information someone should need for summer swim and it just needs little tweaks each season.

The following positions listed are currently handled only by the Swim Coordinator. If we have volunteers for the following positions this year, we can make sure there is a smooth transition next year. ANYONE VOLUNTEERING FOR THESE POSITIONS IS EXEMPT FROM OTHER VOLUNTEER POSITIONS AT MEETS!

Swim Coordinator

• Manage day-to-day emails and questions
• Set up team practices, meets, calendar
• Manage coaches
• Set up registration and update the site
• Liaison between our team and CSSL (attend one meeting before the season and be the go-to person for the referee and league managers)
• Liaison between team and PORA board
• Manage the Swimtopia site with all updates each season
• Update handbook and policies
• Order trophies and medals
• Head of all other Coordinators within team

Event Coordinator

• Plan end of season celebration for Guppies
  
  • Help organize mini meet with coaches
  • Send out any correspondence with parents
  • Awards/gift bags
• Plan end of season celebration for Dolphins
  
  • Secure food company for party (set up at end of season for following year)
  • Organize any additional needs for party
  • Organize set up and clean up
  • Send out any correspondence with parents

Swim-a-thon Coordinator (we have a volunteer for this year only)

• Update form for collecting donations
• Send a letter out to businesses for prize donations (can use past letter)
• Find businesses to sponsor through prizes (2 per age group for laps)
• Find businesses to sponsor for top three fundraiser prizes
• Find businesses to sponsor for top family fundraiser prize
• Take lap information and plug into excel form
• Organize and wrap prizes to hand out at celebration with totals

Volunteer Coordinator

• Send out reminders to meet volunteers 
• Help check in volunteers and answer questions about positions before/during meet
• Be at meets early (4:30pm home meets, 5pm away meets)
• Make sure last-minute cancellations are covered
• Follow up with volunteers at the meet:
  
  • Check on volunteers throughout meet
  • Bring volunteers water, pens, lights as it gets dark
  • Trouble shoot any issues on meet night

Merchandise Coordinator

• Order t-shirts from registration numbers (company has our info to carry over)
• Order any additional merchandise not purchased through website
• Organize merch and hand out to swimmers

Sponsor Coordinator

• Solicit sponsors for the team (different than prize sponsors)
• Order banner with logos from sponsors
• Set up logo display with Merchandise Coordinator for t-shirts
